To support us in mastering this new challenge, Ableton’s Executive Team is looking for a self-motivated, experienced Executive Team Assistant.

The position is fulltime and located in Berlin, Germany.

Your mission

You will support five members of the Executive Team, all of whom are based at our headquarters in Berlin, Germany.  Fluency in both English and German is a must. You will help organize and schedule the meetings, travel, and internal and external events and communication of our executives and the Executive Team. You are able to multi-task, prioritize and work in a fast-paced, ever-changing environment.

Your responsibilities

  • Proactively manage the busy schedules of the Executive Team and its members
  • Coordinate internal and external meetings, workshops and events with various stakeholders across multiple time zones
  • Make business travel arrangements and submit expense reports
  • Support our Legal Team Assistant when preparing Supervisory Board and Shareholder meetings, including follow-up work. Function as a deputy in the event of the Legal Team Assistant’s unforeseeable absence
  • Handle internal and external inquiries (e.g. by connecting people) and keep the members of the Executive Team informed of relevant matters

Your profile

  • 3+ years as an Executive Assistant / Personal Assistant or similar position, ideally in an international business/organization
  • High level of self-organization and ability to prioritize workload in an effective and efficient way
  • Fluent in written and spoken German and English
  • Excellent organizational, planning and prioritization skills, as well as attention to detail
  • Excellent interpersonal skills
  • Problem solving and analytical skills
  • Proactive and hands-on approach
  • Good computer skills: Outlook, Google Docs, Confluence, PowerPoint, Keynote, Excel
  • Trustworthy and able to maintain confidentiality particularly in regards to personal and privileged information
